Health and Safety policy
Health and Safety Policy for Man and Van Ruislip
Man and Van Ruislip is committed to conducting all removal, transport and delivery activities in a manner that protects the health, safety and welfare of our workers, customers, visitors and the wider public. This Health and Safety Policy sets out our approach to managing risks associated with domestic and commercial removals, including lifting, loading, unloading, packing, driving and operating at customers premises.
We aim to provide a safe and secure service across our operating area and to continually improve our safety standards in line with relevant health and safety legislation and industry best practices.
Our Health and Safety Objectives
Our core objectives are to prevent injury, ill health, property damage and avoidable disruption during all moves and transport operations. We will achieve this by identifying hazards, assessing risks, implementing effective controls and ensuring that everyone involved understands their responsibilities. Safety is integral to our reputation as a professional removal company and is a shared responsibility at every level of the business.
Management Responsibilities
Management is responsible for providing clear leadership on health and safety. This includes establishing safe systems of work, ensuring adequate resources are allocated for training, equipment and protective clothing, and reviewing this policy regularly to keep it relevant. Management will monitor performance, investigate incidents, and act on any issues raised by staff or customers. Any changes in legislation, guidance or operational practices will be reflected in updated procedures and communicated to all team members.
Employee Responsibilities
All employees, contractors and regular helpers engaged by Man and Van Ruislip have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. They are required to follow safe working procedures, use equipment properly, wear appropriate protective gear where provided, and report any hazards, near misses, accidents or unsafe conditions without delay. No employee should undertake a task that they consider unsafe or beyond their physical capability.
Risk Assessment and Safe Working Practices
We carry out risk assessments for typical removal and transport activities, such as lifting heavy or awkward items, moving goods up and down stairs, operating in confined spaces, handling fragile belongings, and working outdoors in adverse weather. Site specific risks at customers premises, including access, parking, trip hazards and structural limitations, are considered as part of the move planning process.
Based on these assessments, we implement safe working practices. These may include using correct manual handling techniques, working in teams for heavy or bulky loads, using trolleys, blankets and straps, and planning the sequence of loading and unloading to minimise risk. Staff are instructed to stop work and seek guidance if they encounter unexpected hazards.
Manual Handling and Use of Equipment
Manual handling is a central part of removal work, and poor practice can lead to serious injury. All staff are trained in safe lifting techniques, including assessing the weight and shape of items, maintaining stable footing, keeping loads close to the body, and avoiding twisting while carrying. Where practical, mechanical aids or two person lifts are used for heavier or awkward objects such as appliances, furniture and office equipment.
All equipment used in the course of our work, including trolleys, ramps, straps and protective covers, is inspected regularly and maintained in a safe condition. Defective equipment is removed from service immediately and replaced or repaired before further use.
Vehicle, Driving and Road Safety
Our vehicles are maintained to a high standard and are subject to regular checks, servicing and cleaning. Drivers must carry out pre use inspections and report any defects. Loads are secured properly to prevent movement, and weight distribution is considered to maintain vehicle stability.
Drivers are required to obey road traffic laws, drive considerately and adjust their driving style to the size and weight of the vehicle. Journey planning takes account of time, distance, traffic and weather, with the aim of reducing stress and avoiding the need for unsafe driving practices. Fatigue management is taken seriously, and drivers must not operate vehicles when unfit through tiredness, illness, medication or any other cause.
Customer Premises and Public Safety
When operating at customer addresses or business locations, we will take all reasonable steps to protect customers, their families, employees, visitors and members of the public. This includes keeping access routes as clear as possible, using safe lifting routes, and avoiding blocking fire exits or emergency access points. Where necessary, we will place warning signs or verbally highlight potential hazards such as trailing straps or open vehicle doors.
We treat customers property with care and work to prevent damage to buildings, fixtures, fittings and belongings. Any accidental damage or safety concern will be reported promptly so that appropriate action can be taken.
Training, Information and Supervision
All staff receive induction training that covers key health and safety expectations, safe lifting techniques, vehicle safety, use of equipment and emergency procedures. Additional training is provided as required to reflect changes in work methods or equipment. Less experienced staff are supervised closely until they demonstrate competence in their duties.
Health and safety guidance is communicated through briefings, updates and practical demonstrations. Staff are encouraged to raise concerns or suggestions for improvement at any time.
Accident Reporting and Emergency Procedures
All accidents, incidents and near misses must be reported as soon as reasonably practicable. We keep records of these events and review them to identify trends, root causes and opportunities for improvement. Where necessary, corrective and preventive measures will be implemented and communicated to the team.
In the event of an emergency, such as injury, fire, collision or sudden structural problem at a premises, staff are instructed to prioritise safety, contact the appropriate emergency services as required, and notify management as soon as possible.
Health, Welfare and Fitness for Work
Removal work can be physically demanding. We expect staff to present themselves fit for work and to inform management of any medical conditions or injuries that may affect their ability to carry out tasks safely. We promote sensible work practices, including taking reasonable breaks, staying hydrated and working at a sustainable pace.
We do not tolerate the use of alcohol or illegal drugs during work or immediately before starting a shift. Any employee suspected of being unfit for work will be removed from duty for the safety of all concerned.
Continuous Improvement and Policy Review
Man and Van Ruislip is committed to continually improving its health and safety performance. This policy will be reviewed periodically, and whenever there are significant changes in legislation, operating procedures or the nature of our services. Feedback from staff and customers is welcomed and will be considered as part of our ongoing efforts to maintain a safe, reliable and professional removal service.
